Reports to: Executive Director
Employment Type: Full-Time
Compensation: $23-26/hr (minimum of 10% of salary must be fundraised annually)

The Office Manager keeps 431 Ministries organized and responsive. This front desk role combines admin systems and people-centered service, supporting daily operations, internal communication, fundraising, and external relationships. From answering phones and managing calendars to preparing reports and engaging volunteers, this person helps the ministry run smoothly behind the scenes. We’re looking for someone who takes initiative, enjoys structure, and wants to grow into leadership—eventually overseeing admin staff and owning core systems that support the mission. A portion of this role also includes fundraising responsibilities, with a minimum of 10% of the annual salary raised through personal asks, events, and relationship-building.

Key Responsibilities

Administrative & Operational Support

  • Support directors with weekly priorities, scheduling, meetings, and task follow-up

  • Manage phone, email, PO box, and in-person inquiries; direct to appropriate team members

  • Maintain calendars, room reservations, class/event logistics, and printed materials

  • Organize and maintain systems: Google Drive, physical files, supplies, and shared spaces

  • Coordinate donor and volunteer communications, including thank-you notes and monthly updates

  • Assist with volunteer onboarding, opportunity communication, and shift coordination (in partnership with the Volunteer Coordinator)

Financial, Fundraising & Data Management

  • Enter and reconcile donations in QuickBooks and EveryAction

  • Track expenses and support financial reporting

  • Update and maintain client/volunteer records in Casebook and EveryAction, support impact reporting

  • Support development efforts by engaging volunteers, donors, and community members

  • Help with event planning and communications, and raise a minimum of 10% of annual salary through sponsorships, individual gifts, or donor follow-up


Leadership & Growth

  • Take ownership of tasks that keep projects off directors’ desks

  • Collaborate across departments and assist in improving internal systems

  • Help onboard and train staff/volunteers, including admin staff under direct supervision

Other Duties

  • Attend events or meetings as needed to represent 431 Ministries

  • Flex with team needs and jump in to support wherever gaps arise

Qualifications

  • Bachelor’s degree or 5–7 years of relevant experience preferred

  • Strong administrative, communication, and organizational skills

  • Experience with QuickBooks, EveryAction (or other CRM), and Google Workspace

  • Able to manage projects independently, with a high attention to detail

  • Comfortable interacting with the public and supporting both staff and volunteers

  • Mission-aligned, self-directed, and eager to grow in leadership

  • Valid driver’s license and availability for off-hours events
