Client Intake Specialist - Contracted

Position Summary: The Client Intake Specialist is a critical front-line role that embodies the mission and vision of 431 Ministries by welcoming new women into the Known Seen Loved™ Community.  As the first personal point of contact, the Specialist talks, ensuring they are given clear on-ramps into the services and support that matches their personalized plan for independence.  This role works in direct partnership with the Client Advocates, who cares for the woman actively engaged in the program.  Together, they ensure each client’s journey begins and ends with compassion, clarity, and consistency.

Please note: Because many of the women we serve are working mothers, this position may require some evening and weekend hours to ensure clients can access opportunities at times that work for them.

Reports to:  Executive Director

Employment Type:  Contractual, paid based on work completed (expected 6-12 hours per week)

Hourly Rate:  This position is paid $110 per intake completion

Work Location:  This position will work remotely.  The employee must be able to provide a secure quiet workspace.  Occasional work and/or meetings may occur at the 431 Ministries office located in Spring Hill, TN. 

 

Core Responsibilities:

  • Schedule and complete inquiry phone calls or intake meetings with new clients

  • Serve as the point person for all initial contacts and communication for the purpose of screening an average of 10-15 clients per month; with an estimate of 1-3 hours per client from process start to finish

  • Maintain accurate and up-to-date notes and tracking in Casebook and other internal systems, including key thoughts and next steps

  • Assist in communication around Known Seen Loved™ Community (KSLC) opportunities, including classes, events, and gatherings

  • Initiate weekly texts and communicate opportunities to prospective and new clients through messaging applications

  • Work closely with the Client Advocates to ensure smooth transitions between care roles

  • Collect and share impact stories with the team for marketing and development

Required Skills & Abilities:

  • Exceptional verbal communication skills

  • Strong attention to detail and follow-through

  • Able to balance compassion with consistency and boundaries

  • Comfortable working in emotionally sensitive environments

  • Highly organized

  • Able to track multiple interactions and client stages in required software

  • Proficient in learning new systems and using multiple to complete a job

  • Comfortable working within situations that may require emotional conflict

  • Comfortable working within a trauma-informed, faith-based model

  • Ability to use provided MacBook Air and iPad

Education & Experience:

  • 3-5 years in a related field (nonprofit, women’s ministry, social work, advocacy)

  • Previous client-facing or intake experience strongly valued

  • Experience with Casebook or other Human Resources or client database software preferred
