Executive Assistant // Job Summary

 

We’re looking for an amazing, full-time Executive Assistant to join our team of tenacious women and support our leadership team in a critical way. The Executive Assistant is in charge of assisting the Executive Director (E.D.), Rachel Peck, and Leadership Team as required in tasks of any kind and needs to be the type of person to anticipate needs and fill them. The ideal candidate is someone who is organized, has attention to detail, and has good communication skills. Most importantly, they need to be an outgoing people-person, because picking up the phone, building relationships and asking the hard questions will be a daily part of the job.

Employment Type: Full time, Exempt
Hourly rate: $15-18 per hour 

GENERAL RESPONSIBILITIES

The mission of the Executive Assistant is to stay five steps ahead of their leader, tracking all of the administrative details, and clearing the path for her to allow her to operate at the highest level possible. While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on the E.D.’s needs and the needs of the ministry. The most important responsibility of the Executive Assistant is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the mission and vision of 431 Ministries. 

The Executive Assistant will have the following primary responsibilities:

  • Meeting management including scheduling and confirming meetings, preparing agendas and necessary meeting documentation, printing reports, taking notes, distributing action items, and arranging catering

  • Communicating on the E.D.’s behalf both internally and externally

  • Running errands and attending in-person meetings multiple times per week

  • Checking the P.O. Box several times per week and processing mail to various departments

  • Complex calendar management and scheduling (both personally and professionally) on behalf of the E.D. and Leadership Team

  • Varying personal and professional administrative tasks including, but not limited to booking appointments, research projects, coordinating travel, and ordering gifts/flowers, etc.

  • Answering phones and responding to voicemails

  • Maintaining organization and cleanliness in the office 

  • Light project management and accounts payable duties

THE IDEAL CANDIDATE

  • Has a high school diploma or additional higher education, with 1-2 years of relevant experience

  • Is an organized, proactive team player whose energy is infectious, bringing positivity and continuous support to those around them

  • Has a natural ability to collaborate, foster relationships and bring solutions to the table 

  • Has exceptional communication skills, both verbal and written, allowing them to manage projects and expectations from leaders and other staff members

  • Has developed the ability to identify and pursue opportunities, contributing to the ongoing fundraising and growth success of 431 Ministries

  • Maintains the highest degree of professionalism, serving as brand ambassador at all times

  • Is defined by a solid work ethic, with strong personal and professional integrity
