EVENT COORDINATOR // Job Summary
431 Ministries organizes a number of events of various sizes for clients and partners throughout the year. An event coordinator is essential to make these gatherings effective, cost-efficient, and most importantly, memorable. The role will include evaluating and negotiating with potential vendors, working with the Operations Director to complete service contracts, and coordinate communications with guests, volunteers, speakers, and clients. Above all, they will be comfortable in a collaborative role that demands a creative, business-driven mindset and lasting relationships with vendors and partners.

Employment Type: Part time/Contract
Hourly Rate: $15-$17
GENERAL RESPONSIBILITIES
Oversee the planning and execution of at least (2) 300-person events a year, in addition to (4) 50-person events, a number of groups and retreats and other events as required
Drive the company’s mission by always representing our vision in every event
Own every aspect of an event, from venue choice to success metrics
Manage budget and timeline expectations in accordance with guidelines provided by supervisor
Know all upcoming opportunities to serve and be able to communicate that to churches, groups and individuals
Understand our mission, vision, guiding principles and values to assist with onboarding new volunteers
ADDITIONAL RESPONSIBILITIES:
Have a complete understanding of the requirements for each event to execute them well
Research vendors and make selections based on creativity, quality, and cost
Book venues and schedule guests, which includes contract drafting, confirmation and day-of logistics
Collaborate with Volunteer Coordinator to recruit volunteers as needed across all functions of an event (registration, set up, catering, audio/visual, etc.)
Day-to-day administration of events and programs including placing orders, monitoring vendors, travel planning, venue reservations, monitoring registration, tracking RSVPs, answering questions and resolving issues
Maintain professional records for various sectors of the event function (cost, volunteer hrs, vendor relations, etc)
Collaborate with Operations Director to improve codes of conduct and operating procedures to uphold the organization's values in relation to events
Ensuring the organization's purpose is conveyed to the public
Other duties as required
Required Skills/Abilities:
Experience managing deadlines and people
Experience with data analysis, budgeting, and reporting
A self-starter, able to determine next steps to keep things moving
Problem-solving skills with a keen eye for details
Strong analytical skills
Natural leadership and organizational skills
Strong verbal as well as written communication skills
Education and Experience:
3-5 years in a relevant field
Bachelor’s Degree in related field
